Attendance in a Sports Academy: How to Track It and Use It

By the Athlyne team · · 2 min read

Attendance looks like admin, but it is one of the most useful things an academy records. It tells you who is about to drop out, which batch timing is not working and whether a family is getting what they pay for. The trick is to make marking it so quick that it actually happens every session.

Why attendance matters

On the ground, it tells you exactly who is in your care, which matters the moment something goes wrong. Over a month, it shows you whether a child is getting enough practice to improve. Over a term, it is your early warning that a family is losing interest.

Mark it at the start, every time

Make it the first thing in every session, before the warm up. If attendance is left for the end, it gets forgotten on busy days, and an incomplete record is close to useless. Whatever you use, a register or an app, it should take less than a minute.

Decide your make-up class rule

Students miss classes for exams, illness and family functions. Decide whether they can make up a missed class in another batch, how soon, and whether it counts. Then tell families once, so you aren't negotiating every week.

Act on the patterns

The real value is in what you do next. A simple habit works: if a student misses three sessions in a row, call the family. Often there is a fixable reason, such as a clash with tuition or a lost interest that a word from the coach can turn around. Families notice when the coach notices.

  • A run of missed sessions: call the family
  • One batch with low attendance: look at the timing or the venue
  • Attendance drops every exam season: plan lighter sessions or a break

Attendance and fees

For monthly fees, attendance and fees are separate: a family pays for the month whether or not the child came. For session packs, attendance is the fee: every visit comes off the pack. Be clear with families which one they are on, and how holidays and long absences are handled.

Don't forget your coaches

If you have a team, keep their attendance too. It makes salaries straightforward and shows you which batches are covered.

Where Athlyne fits

In Athlyne you open the batch on your phone and tap the students who came. Each student's history builds up on its own, make-up classes at another batch or venue count, session packs count down, and holidays take sessions off the timetable.

Should I mark attendance on paper or in an app?

Either works if you do it every session. An app saves you typing it up later, keeps the history for each student and won't get left at home.
