Fee Reminder Messages for Parents: 8 Templates for Academies

By the Athlyne team · · 3 min read

The right fee reminder is short, friendly and has everything the parent needs to pay at once. Here are eight messages you can copy into WhatsApp or email. Change the words in square brackets, and adjust the tone to match how you speak to your families.

What every reminder needs

Whatever the wording, a good reminder answers four questions without the parent having to ask: whose fee, for which month, how much, and how to pay. Leave out any one of them and you get a reply asking for it, which is one more message to deal with.

  • The child's name, since many parents have more than one child in classes
  • The month or period the fee covers
  • The exact amount
  • How to pay: a UPI ID, QR or payment link
  • Your academy's name, so it doesn't look like spam

The templates

Use the first two every month. Keep the rest for the moments they are written for.

Tips that get fees paid faster

Send reminders in the morning, when parents are planning their day, rather than late at night. Send each family their own message instead of posting in the group: nobody likes being reminded about money in front of other parents. And when someone pays, say thank you. It takes a second, and families remember it.

Sending them without typing each one

Copying a template forty times a month gets old quickly. Athlyne sends each family who still owes their own reminder in one tap, on WhatsApp on paid plans or by email on every plan. Each one links to a page with your logo, the amount and your UPI QR.

Questions about this post

Can't find yours? Write to us at help@athlyne.com and we'll get back to you.

Is it okay to send fee reminders on WhatsApp?

Yes, and most parents prefer it. Send each family their own message rather than posting in a group, and keep it short and polite.

How do I remind parents about fees without sounding rude?

Assume they forgot, which is usually true. Give the child's name, the month, the amount and how to pay, and thank them. Avoid words like "final" or "warning" unless you truly mean them.
